Learn how Transaction Reviewing works

Full Control Over Employee Spending Before Transactions Are Finalized

Transaction Reviewing in Swypex allows designated team members to review, approve, or reject employee transactions before they are fully finalized within the company workflow.

This feature gives finance and management teams stronger spend governance, clearer visibility, and a more structured approval process — all from one centralized platform.

Whether your company manages operational expenses, employee custodies, or department spending, Transaction Reviewing helps ensure every transaction is properly validated before completion.

What Is Transaction Reviewing?

Transaction Reviewing is a workflow-based approval system that routes employee transactions to assigned reviewers for validation and action.

Depending on your company setup, transactions can require:

  • A single reviewer
  • Multiple reviewers

A transaction remains pending until all required reviews are completed.

 

Owner Controls & Settings

Only the Owner role can manage Transaction Reviewing settings across the account.

The Owner can:

  • Enable or disable Transaction Reviewing
  • Configure the number of required reviewers per transaction

⚠️ Important Notes:

  • If Transaction Reviewing is disabled while there are pending transactions, the Owner will receive a warning that this action will affect all remaining pending reviews.
  • If the required number of reviewers is changed while transactions are pending, the new logic will apply to the remaining pending transactions.
  • Once Transaction Reviewing is turned off, any new transactions created afterward will no longer be reviewable.
 

Who Can Be Assigned as a Transaction Reviewer?

The following user roles can be assigned as reviewers:

Role
Can Review Transactions
Owner
Admin
Read-Only
Employee

Employees cannot be assigned as Transaction Reviewers.

How to Assign a Transaction Reviewer

1- Open the People Section

Navigate to the "People" section and select the Admin or Read-Only user you would like to assign as a Transaction Reviewer.

2- Click Manage Click on the "Manage" button on the selected user's profile.

3- Enable Transaction Review Toggle on the "Transaction Review" option to grant the user reviewer access.

Reporting Issues on Transactions

Reviewers can reject a transaction and report an issue if:

  • A receipt is missing
  • Supporting documents are incomplete
  • Additional clarification is required

The transaction owner will automatically receive a notification to resolve the issue.

ℹ️ Important:

If multiple issues are raised on the same transaction, the transaction owner must resolve all reported issues before the transaction can proceed further in the workflow.

Transaction Review Filters

Swypex provides advanced filtering tools to help reviewers efficiently track transaction statuses and actions.

Available filters include:

  • My Action Required
  • Issue Reported
  • Issue Resolved
  • Partially Approved
  • Partially Rejected
  • Approved by Me
  • Rejected by Me
  • Fully Approved
  • Fully Rejected

These filters make it easy to monitor pending reviews, track reviewer activity, and manage operational workflows at scale.

Review History

Swypex maintains a detailed review history for each transaction, allowing companies to track:

  • Who reviewed the transaction
  • Approval/rejection actions
  • Reported issues
  • Resolution history

⚠️ Important:

If Transaction Reviewing is turned off, review history will no longer appear in the transaction table view. However, the full review history will still remain accessible inside each transaction’s detailed view.
